Benefits can be complex, and it's not always easy to know where your existing benefits end, where Maji begins, and what the platform itself does. This article explains everything you need to know:

What Maji Is

Maji is a benefits platform that helps you showcase and administer your employee benefits. It brings everything together in one place, including:

  • Existing benefits – Display information about benefits you've purchased outside of Maji

  • Workplace pension – Give employees clear visibility of their pension information

  • Salary sacrifice schemes – Facilitate the addition of new schemes and surface all relevant information to staff

  • Bundled employee benefits – Provide a ready-made package of additional perks, including coaching discounts and financial wellbeing tools

For employees, Maji offers one central hub for all company benefits.

For employers, Maji delivers a complete financial wellbeing and salary sacrifice benefits package, a single destination for staff to access everything, and automation or simplification of many statutory obligations.

Your Responsibilities

You are responsible for choosing which benefits to offer, setting the policies and procedures that govern them, and ensuring they are delivered in a compliant way. For example:

  • Holiday exchange – You decide how many days staff can trade, ensure everyone stays above National Minimum Wage (NMW), educate employees about the benefit, and manage the salary sacrifice contract variations.

  • Workplace pension – You choose the pension provider, set your contribution levels, and decide when employees can make changes to their pension.

  • Pension salary sacrifice scheme – You determine opt-in and opt-out windows, and are responsible for educating staff and varying contracts accordingly.

When it comes to salary sacrifice benefits specifically, you have six statutory obligations:

  1. Educate staff

  2. Maintain NMW compliance

  3. Gather records of consent

  4. Vary contracts

  5. Keep records

  6. Create payroll reports

How Maji Helps

Once you've decided which benefits to offer and defined your policies, you can configure that information in your Maji platform. Maji then helps you fulfil all six statutory obligations:

Obligation

How Maji Helps

Educate staff

Maji communicates benefit information directly to employees

Maintain NMW compliance

Maji automatically checks and monitors compliance

Gather consent

Maji captures opt-in and opt-out records as employees act

Vary contracts

Maji issues digital contract addendums for your approval

Keep records

Maji maintains a full record of scheme participation

Create payroll reports

Maji generates monthly payroll reports automatically

Note: If you use an external provider for a cycle, car, or workplace nursery scheme, some of these obligations will be handled by that partner outside of Maji.

How to Deal with Staff Questions

One of the best ways to maximise the value of a benefits platform is to make it a natural first stop for employees — the more regularly they visit, the more value they get from the support available.

Maji is particularly well set up for this, offering both live chat support and 1-1 coaching sessions directly on the platform.

Our recommendation: direct employees straight to Maji whenever they have a question.

Here's why this works better for everyone:

  • Faster resolution – When employees come to us directly, we can ask the right follow-up questions and get to the heart of the issue quickly. A question like "What are the terms and conditions of the scheme?" often needs more context before it can be answered properly — context we can gather much more efficiently in a live conversation.

  • Less back-and-forth for you – When queries are relayed through you, it can take multiple rounds of communication to fully understand what the employee needs. By going direct, we save you that time and resolve things more satisfactorily for your employee.

How Maji Works with Payroll

Part of the payroll team's job is to action employee benefit requests in the monthly pay schedule. Maji makes this process simpler.

Here's how it works:

  1. Employees request benefit changes through their Maji portal — for example, increasing a pension contribution or opting into a salary sacrifice scheme.

  2. You receive a notification to review and approve the request.

  3. If you approve, an automated workflow notifies the employee and updates their Maji platform data accordingly.

  4. If you decline, an automated workflow notifies the employee and directs them to speak with you for more information.

  5. All approved requests are collated into an end-of-month payroll report.

  6. You can configure Maji to send this report directly to your payroll team.

What Information the Maji Platform Needs

When you start working with Maji, you'll upload basic information about your staff — such as names, email addresses, and salaries. This data:

  • Allows you to manage staff participation in benefits

  • Enables the platform to handle compliance and admin functions on your behalf, such as checking NMW alignment

Over time, you'll need to keep this information up to date by:

  • Adding new joiners (individually or in bulk)

  • Marking employees as leavers

  • Updating salaries when they change
